What’s new at ClubOS?

Template gallery with real page previews: your invoice templates appear as mini pages — with search, filters and sorting, so you instantly see which template fits.

5 starter templates for a flying start: Classic (membership fee), Modern, Compact, Department colours and Mail-merge post — one click creates a ready-to-use template.

New template studio with live preview: 9 tidy sections (letterhead, sender & recipient, title & texts, item table, payment & QR, email & sending, design & brand, advanced). Every change shows instantly — “Check exact PDF” renders the real PDF on demand.

Colours per element: besides the accent colour you can colour table header (background & text), lines, total row, title and closing individually — any colour works (palette, colour wheel or hex). The brand kit inherits your club colours automatically.

Email texts right in the template: subject and message per language (DE/EN/FR/IT/ES) — when sending, ClubOS uses the text in the invoice language automatically. Placeholders like {vorname} or {rechnungs_nr} are resolved per recipient.

Footer on every page: recurring footers (e.g. with IBAN and contact) — on invoices with a payment slip the footer sits above the slip automatically; the slip always stays at the very bottom (SIX rule).

Optional logo per template: the default comes from your club settings; departments can use their own logo. Versions: up to 5 snapshots with “Restore”. In the dunning settings you can pick a dedicated reminder design.

Bank import is now a dedicated full-screen cockpit: transaction list on the left, details on the right — with an extra-wide panel on large screens for comfortable work. Statement import now lives in exactly one place.

The reconciliation shows opening balance, closing balance and the open amount at a glance — including a progress indicator and “Complete reconciliation” right above the list.

Smart suggestions with reasons: ClubOS proposes matching open invoices for every transaction — with a relevance score and patterns learned from your previous postings (e.g. recurring payments).

Rules for recurring patterns: create a rule right from the detail panel (e.g. “TWINT payments always to account 1020”) so future imports automatically get the right suggestion.

History & undo: every import is recorded as a batch with a full protocol (who, when, which rows) — exportable as CSV, Excel or PDF. One click reverts the entire import.

No double entries: imported payments are posted idempotently — re-running or double-clicking creates no duplicates.

Bank-import postings are now labelled consistently throughout the journal and can be found via the dedicated “Bank imports” filter.

The invoice studio is now a cockpit: recipient on the left, document in the centre (items · texts · design & options), preview/sending/payment on the right — everything at a glance, nothing hidden under “advanced”.

Drafts are saved automatically (“All changes saved”) — including a close guard. Sending is still the explicit “Book & send” step; afterwards the document is immutable.

PDF preview at the touch of a button (no full-screen detour) — and new in bulk sending: “Review all documents”: browse every recipient document before the run starts.

Discount (percent or amount) and payment terms with cash discount (“2% within 10 days”) directly on the invoice — correctly shown in the PDF and in accounting.

Document language selectable per invoice (German/French/Italian/English/Spanish) — the default is now the member’s language.

Journal entries per article: accounts come from the selected catalogue article; automatic posting is now OFF by default and is enabled per invoice.

Compose the email message in a spacious editor (subject + body + placeholders) instead of a narrow column; member search now also works with the member number.

Clean-up: all studio texts in all 5 languages, consistent number formats, complete column headers, catalogue applies the article’s VAT rate, undo for deleted items.

Invoices now open in a large detail view: two columns with an embedded PDF preview on large screens, a side drawer on tablets and a bottom sheet on phones.

The PDF preview can now be zoomed (up to 300%) and shown full screen — even when heavily zoomed, the page scrolls fully left and right.

Record payments in one consolidated dialog: full and partial payments with payment account, ledger account and notes — straight from the invoice.

New “History” tab: the complete activity log of an invoice (creation, sending, payments, credit notes and more) at a glance.

Credit notes no longer show a due date — they are correction documents without a payment deadline and are offset against the invoice or paid out (in line with common accounting standards).

Website 2.0 — faster and findable everywhere: every page is now statically pre-rendered and carries correct search-engine metadata (title, description, canonical, all 5 languages). Better placement on Google and in AI searches (ChatGPT, Perplexity & co.).

Prices & plan names live from Mission Control: changing a price or name in Mission Control automatically applies to the landing page, the pricing page and the app — one source, no duplicated lists.

New: subscribe to product updates by email — right in the website footer. With confirmation email (double opt-in) and one-click unsubscribe, no login required.

Mission Control → “Website Analytics”: views, top pages, approximate locations (no IP storage), devices, load times, newsletter subscriptions and visits from AI assistants — anonymous, cookie-free, no cookie banner.

Delivery issues made visible: In each campaign’s history you now see exactly which recipients could not be reached — with the reason (address does not exist, mailbox full, rejected, spam complaint) and the time. One click opens the member profile for cleanup.

New deliverability analysis: Analytics shows recurring patterns — most frequent reasons, domains with issues and addresses with repeated problems. In addition, duplicate delivery events are no longer double-counted.
